How a Major Ballet Studio Gave Up Manual Timesheets

We are fortunate to have a major ballet studio using Webtimeclock for payroll time tracking. Without naming names, we can mention they are located in San Francisco.

Their journey started when they finally decided to move away from manual timesheets. Instead, they wanted a modern, web-based, standalone time clock system that could integrate with Paychex, their payroll provider.

This is all good, but if you know anything about running a ballet studio, their real needs go way beyond a simple time clock. They have hourly employees that clock in and out, but they also have teachers that manually enter their hours along with job codes. Finally, before running payroll, they use an approval process that requires multiple people to sign off on the time.

Studio employees don't use a physical time clock because it would not be practical; classes can be spread across different rooms, different buildings, and a wide variety of days and times. Most employees use their phones, while others use their laptops to clock in or manually enter time.

Levels of access

Another important requirement of this ballet studio is the ability to assign timesheet editing access to supervisors and administrators. Although an employee may have the ability to enter whatever hours they want, a supervisor reviews the timesheet prior to its approval. Then once an administrator approves the timesheet, it instantly locks from further editing.

To maximize flexibility, supervisors can be assigned specific employees. This allows the possibility for employees to have multple supervsiors.

The final go ahead

Perhaps it was the support we provide them and how we answered their questions. But it could also be because Webtimeclock is clean and easy to use.
